TERMS & CONDITIONS

1. PAYMENT CONDITIONS AND CANCELLATION POLICY

To confirm your place on the tour, a non-refundable deposit of €300 per person is required at the time of booking. The tour price includes the base tour package plus any optional extensions selected, minus any discounts applied at the time of reservation.

A second installment is due by 6 January 2026, and the final balance is due by 9 June 2026. If full payment is not received by the due dates, your booking may be cancelled and standard cancellation fees will apply.

By paying your deposit, you authorise Hermes Holidays to disburse funds as needed to secure accommodations, services, and suppliers on your behalf.

For bookings made after 6 January 2026, both the €300 deposit and first instalment are due at the time of booking.

For bookings made after 9 June 2026, full payment is required upfront.

Any eligible discounts will be applied to your final balance.

Hermes Holidays reserves the right to cancel any reservation if payments are not received within the specified timelines.


CANCELLATION FEES AND CHARGES
We hope nothing will come between you and your tour with Hermes Holidays. Should you need to cancel your booking your cancellation must be received by us in writing. It will be effective on the date of receipt. Cancellation charges are per person and based upon the date of cancellation, and are as follows:

2. ITEMS NOT INCLUDED IN THE PUBLISHED PRICE

The tour price covers only the services and inclusions explicitly stated in the itinerary. The following items are not included in the published tour price:

  • International and domestic airfares to and from your destination

  • Airport taxes or departure fees

  • Excess baggage charges or preferred aircraft seat assignments

  • Arrival and departure transfers

  • Meals not listed in the itinerary

  • Costs associated with passports, visas, and required travel documentation

  • Travel insurance (including health, accident, and baggage coverage)

  • Personal expenses, such as laundry, phone calls, or mini-bar purchases

  • Optional excursions or additional sightseeing not listed in the itinerary

  • Beverages not included with meals or items not part of the regular menu

If it’s not mentioned in the itinerary or inclusions list — assume it’s not covered.

3. TRAVEL INSURANCE

Hermes Holidays strongly recommends that all travellers take out comprehensive travel insurance at the time of booking.

Your policy should cover (at a minimum) cancellation, medical expenses, loss or damage to luggage and personal belongings, and any unforeseen disruptions to your travel plans. Please ensure you have adequate coverage for your personal needs and the full value of your trip.

While we do everything we can to ensure your holiday runs smoothly, things can and do happen — and having the right insurance is the best way to protect yourself from unexpected costs.

Hermes Holidays will not be held responsible for any losses incurred due to inadequate or lack of insurance coverage.

4. PASSORTS & VISAS

A valid passport is essential for travel on all Hermes Holidays tours. Your passport must be valid for at least six (6) months beyond your scheduled return date.

It is your sole responsibility to ensure that you have all necessary visas, entry permits, or documentation required for the countries included in your itinerary. Requirements vary depending on your nationality, and we strongly recommend checking with your travel agent or relevant consulate well in advance.

Hermes Holidays is not responsible for advising or securing visas or travel documents for any guest. We are also not liable for any delays, denied boarding, missed portions of the trip, or additional costs incurred due to incorrect, expired, or incomplete documentation.Please note: As part of international security measures, we require passport and emergency contact details from all travellers before final travel documentation can be issued.

5. ITINERARY CHANGES

Hermes Holidays has been running unforgettable European tours for many years, and you can rely on our experience and local expertise to deliver an incredible journey — even when unexpected circumstances arise.

Occasionally, weather conditions, transport disruptions, supplier changes (including closures), or other unforeseen events may require us to adjust or modify the itinerary. While we make every effort to keep itineraries, accommodations, and inclusions exactly as advertised, we reserve the right to substitute elements of the tour where necessary.

In such cases, we will always aim to provide a comparable or improved alternative in terms of quality and experience. Please note that itinerary changes do not entitle guests to a refund, and our standard cancellation policy will apply to any voluntary cancellations.

Itineraries are subject to change without notice, and substitutions may occur due to factors beyond our control—including but not limited to extreme weather, traffic conditions, strikes, or supplier availability.

6. INCLUDED EXCURSIONS

One of the hallmarks of a Hermes Holidays experience is our selection of thoughtfully curated included excursions and hosted dinners — the kind of highlights that set our tours apart.

While we do everything we can to deliver every scheduled experience, there may be rare occasions (due to weather, strikes, or operational issues) when a planned excursion cannot proceed as advertised. In these extreme circumstances, no refund or monetary value will be given for the missed inclusion. However, where possible, we will endeavour to substitute a comparable experience of similar value and style.

Please note: if a guest chooses to opt out of or misses an included activity for any reason — including illness, fatigue, late arrival, or personal scheduling conflicts — no refunds or credits will be issued for that missed component.

All included services — including transportation, accommodations, sightseeing, and meals — are delivered by third-party operators (“Suppliers”) such as local guides, train services, cruise companies, hotels, and restaurants. These Suppliers are independent contractors, not agents or affiliates of Hermes Holidays. As such, Hermes Holidays is not responsible for the acts, omissions, or performance of these independent Suppliers or anyone employed by them.

7. SECURITY

Security is a major concern for all of us, and the situation globally is constantly evolving. Events around the world — including travel advisories issued by various governments — may, at times, require changes to accommodations, itineraries, or even lead to trip cancellation.

In the rare event that Hermes Holidays is forced to cancel a trip due to a government-issued travel ban or security-related issue beyond our control, guests will be offered the choice of transferring their booking to a future Hermes Holidays vacation or receiving a full refund of monies paid.

We will always prioritise the safety and wellbeing of our guests, and any decisions made will be based on the latest expert advice, local conditions, and supplier input. However, by booking with Hermes Holidays, you accept and assume responsibility for your own travel decisions. Should a guest choose to cancel their booking based on personal concerns not backed by an official government advisory, our standard cancellation policy will apply.

8. HEALTH AND MOBILITY

At Hermes Holidays, we’re all about creating unforgettable experiences — but we also want to make sure all our guests can enjoy them safely and comfortably.

Please note: this is a very active tour. It involves lots of walking (sometimes on cobblestones or uneven ground), cycling, stairs, and full days on your feet. A good to above-average level of fitness is essential, and this itinerary is not suitable for guests with limited mobility.

If you have a physical or medical condition that may require special attention or support, you must let us know at the time of booking. If something changes after you book, please contact us right away so we can discuss whether reasonable accommodations are possible. Please understand that we may need to make certain safety-based decisions to ensure the wellbeing of all guests, including limiting participation in specific activities if necessary.

Hermes Holidays does not provide personal assistance or mobility aids. If you require help with day-to-day personal tasks (such as walking, eating, bathing, or dressing), you’ll need to travel with a companion who can provide that support.

We do not employ medical staff. If you need medical assistance while on tour, it will be provided by a local provider at your own expense. We’re not liable for the quality, availability, or costs of medical care abroad.

International travel can present unexpected challenges — from uneven terrain to accommodations that don’t meet accessibility standards common in your home country. While we do our best, we cannot guarantee disability access or custom modifications.If you’re unsure whether this trip is the right fit for you, please reach out — we’re happy to talk it through.

9. TRAVELLERS

All travellers must be 18 years or older at the start of the tour.

Hermes Holidays proudly curates experiences primarily for the LGBTI+ community, but everyone is welcome — regardless of sexuality, gender identity, or background. What we do insist on is a respectful, inclusive environment for all guests.

We have zero tolerance for homophobia, transphobia, racism, hate speech, or any kind of discriminatory behaviour. Anyone who breaches this expectation will be removed from the tour at their own expense, with no refund given.

Hermes Holidays also reserves the right, at its sole discretion, to decline a booking or remove a guest who cannot or will not comply with our terms and conditions. We are not responsible for any additional costs incurred if removal is necessary, and by booking, all guests agree to hold Hermes Holidays and its affiliates harmless for any actions taken under these terms.

10. SMOKING POLICY

For the comfort of all our guests, smoking is only permitted in designated outdoor areas. Smoking is strictly prohibited on motorcoaches, trains, boats and in indoor public spaces such as hotels, restaurants, and venues.

This policy applies to all forms of smoking materials, including vapes and e-cigarettes.

While marijuana is legal in the Netherlands, please note: it is only permitted to be smoked inside licensed coffeeshops. It is not allowed in public spaces, at our hotel, during group meals, on boats, or in any of the venues we visit.We ask all guests to respect local laws and the comfort of the group. Breaches of this policy may result in removal from the tour at your own expense.

11. RECREATIONAL DRUGS & ILLEGAL SUBSTANCES

The possession, use, or distribution of illegal substances or recreational drugs during the tour is strictly prohibited. This includes all locations — accommodations, transport, excursions, and events.

Any guest found in breach of this policy will be immediately removed from the tour at their own expense, with no refund provided. Local laws may also apply, and Hermes Holidays will not be held responsible for any legal consequences.

We’re here to have an incredible time — but always safely and respectfully.

12. RESPONSIBILITY

Hermes Holidays acts as the organiser of the tour and is responsible for delivering the components as outlined in your itinerary. We’ll always do our best to ensure everything runs smoothly, but sometimes things outside our control (like weather, strikes, supplier issues, or government changes) can cause disruptions. If that happens, we may need to make adjustments to the itinerary or substitute services. We’ll always aim to provide alternatives of similar quality, but no refunds will be given in these cases.

When you book with us, you’re also agreeing to the terms set out in this document. That includes understanding that many services (e.g. transport, hotels, local guides) are provided by independent third parties. Hermes Holidays is not liable for any injury, loss, delay, damage, or inconvenience caused by these third parties or events outside our control — including baggage issues, transport delays, medical incidents, or criminal acts.

All baggage and personal belongings are your responsibility at all times — we strongly recommend you take out appropriate insurance.

Airlines, hotels, rail operators, and other suppliers operate under their own terms and conditions, and by booking, you agree to those too. If you miss part of the trip due to delays or government requirements (such as passport or visa issues), any resulting costs or missed components are your responsibility.

Your payment of a deposit confirms your acceptance of these terms. This agreement is governed by the laws of New South Wales, Australia. Any disputes must be resolved in the courts of New South Wales.

13. FORCE MAJEURE

Hermes Holidays shall not be held liable for any delay, change, or cancellation of travel services caused by circumstances beyond our reasonable control. This includes but is not limited to: natural disasters, pandemics, weather conditions, war, terrorism, civil unrest, strikes, government restrictions, or the failure of any third-party suppliers to deliver their services. In such cases, no refunds or compensation will be issued. However, where possible, we will do our utmost to offer an alternative experience or allow funds paid to be transferred to a future Hermes Holidays tour.

14. CODE OF CONDUCT

We are all about fun, friendship, and fabulous experiences — but only if everyone is treated with respect. Hermes Holidays reserves the right to remove any guest from the tour (at their own expense) if their behaviour is deemed disruptive, threatening, illegal, or negatively affects the experience or safety of other guests or staff. This includes — but is not limited to — verbal abuse, aggression, harassment, or any form of discrimination. No refund will be given for any unused portion of the tour.

15. PHOTOGRAPHY & PROMOTIONAL MATERIAL

By attending a Hermes Holidays tour, you grant us permission to use any photographs or video taken during the trip — including those featuring your image — for promotional purposes (such as in brochures, social media, or on our website). If you would prefer not to appear in any promotional material, please let us know in writing before your tour begins.

16. PRICING & CURRENCY

All pricing is quoted in euros (€) unless otherwise stated. While we do our best to keep prices fixed once confirmed, Hermes Holidays reserves the right to adjust pricing due to fluctuations in currency exchange rates, increased supplier costs, or changes in government taxes or levies. Once full payment has been made, your price is locked in and will not increase.

17. MEDICAL DECLARATION

By booking this tour, you confirm that you are physically and mentally fit to travel. You must inform us at the time of booking of any medical conditions or mobility limitations that may affect your ability to fully participate. Hermes Holidays reserves the right to request medical clearance or exclude individuals from specific activities if participation would compromise their safety or the safety of others.

18.  LIMITATION OF LIABILITY

Hermes Holidays is committed to providing a safe, enjoyable, and well-managed experience. However, by booking this tour, guests acknowledge and accept that travel involves inherent risks — including, but not limited to, walking tours, cycling excursions, boat trips, transportation delays, third-party services, and unexpected events.

Hermes Holidays, its directors, staff, contractors, and affiliated partners shall not be held liable for any injury, illness, death, loss, damage, delay, or additional expenses incurred by any guest arising from:

  • personal injury or accidents (including but not limited to slips, trips, or falls),

  • the actions or negligence of third-party providers,

  • participation in optional or included activities (e.g. bike rides, walking tours, boat rides),

  • or any cause beyond our direct control.

Guests participate in all activities at their own risk and are expected to exercise due care and judgment. Hermes Holidays is not responsible for any loss or damages to personal property during the trip.

By booking with Hermes Holidays, you voluntarily assume all risks associated with the experience and expressly waive any right to seek compensation or damages from Hermes Holidays or its representatives, except in cases of gross negligence as defined under applicable law.

We strongly recommend that all guests take out comprehensive travel insurance that includes coverage for medical costs, accidents, and personal liability.
